Payroll taxes are those deductions from employees’ gross pay to compute the net pay. In addition, for some of these taxes there are amounts to be paid by the employer. The sum paid to the tax agencies is the employee portion deducted at source plus the employer portion.
These payroll tax deductions are required by federal, state and local law:
Federal withholdings
- Federal income tax
- Social Security tax
- Medicare tax
State withholdings
- State income tax
- State disability/unemployment insurance
In some areas, there may also be local payroll taxes.
An organization, whether for profit or not for profit, with employees is responsible for accounting, reporting and payment of the employer portion of payroll taxes in addition to remitting the payroll taxes deducted from the employees.
These include: Social Security taxes, Federal Unemployment Taxes (FUTA), Medicare Taxes and any state unemployment taxes.
Accounting and reporting
- This is the area where the employer can run into difficulties with the tax agencies resulting in IRS tax problems or tax liens. The most basic responsibility is to pay the employee withholdings and employer portion on a timely basis.
- In addition there are reporting requirements including quarterly tax returns, annual tax returns as well as wage and tax statements (W2’s).
